There are two ways to add usable TapNota tags to your account.
Open your phone’s camera and scan any label in the pack. Enter your email address and follow the activation steps. The entire pre-coded pack activates at once—you do not need to activate every label separately.
Use the Create & Print Tags section in your portal to create new tags up to your account’s active-tag limit.
Attach a printed or pre-coded TapNota label to an item, box, bin, tool, piece of equipment, document, or other object. Scan the label and add the information you want connected to it.
Add a clear title, description, contents list, location, serial number, model number, purchase information, instructions, or other identifying details.
Add notes, photos, maintenance updates, repairs, service records, reminders, ownership details, or anything else you may need later. When you are signed in as the account owner or an authorized Shared Account Access member, you can also use Identify Items with AI to help fill a note from a photo.
When you are signed in as the account owner or an authorized Shared Account Access member, TapNota can analyze a photo and help build the item note for you.
This is your private organization dashboard. Use it to view every tag, search your account, create and manage folders, create and print new tags, update Item Status, see your remaining AI credits, manage Shared Account Access, reprint QR labels, and manage item sharing or privacy.
Each QR label connects to one Item Page containing the information for that specific item, bin, box, tool, document, or piece of equipment. Scanning the physical label opens that page directly. Signed-in account owners and authorized Shared Account Access members can also use Identify Items with AI from the Item Page.
Shared Account Access lets another person use their own TapNota login to help manage the same account. This is different from sharing a single Item Page link.
From the top of your Portal, select Account & Access, then find the Shared Account Access section.
If you are the account owner, enter the person’s email address and select Invite Member. TapNota sends them a secure invitation.
The invited person opens the email, accepts Shared Account Access, and uses their own TapNota login. Their personal TapNota account, if they already have one, stays separate.
Authorized members can help manage tags, folders, notes, photos, Item Status, AI tools, and QR printing. If they also have their own TapNota account, they can switch between accounts from the Portal.
The portal search tool does more than search Item Page titles. It also searches tag codes, folder names, and the full text of notes saved inside your Item Pages, then lists every matching result.
Folders group related Item Pages while keeping everything searchable from one portal. Build a folder system that matches the way you already organize.
Moving a tag into a different folder does not change its QR code. The physical label will continue opening the same Item Page.
After a label is activated and its Item Page is created, it does not need to be activated again. Every future scan opens the item’s current page.
Keep an Item Page private, share it with selected people, or make it public depending on how you want the label to be used.
Optional 4-digit PIN protection for individual Item Pages is available with supported plans. A PIN is not required to activate a pack, create Item Pages, scan labels, or use TapNota.
Item sharing controls access to one Item Page. Shared Account Access gives an invited person their own login to help manage the broader TapNota account while billing and membership controls stay with the owner.
