How the Whole System Fits Together

The label, Item Page, AI, Portal, search, sharing, and history all work as one system

The biggest advantage of TapNota is not one isolated feature. It is the connection between the physical object, its digital record, and the tools you use later to search, organize, update, share, and maintain it.

The TapNota loop

Start at the physical item and keep the record useful long after the first scan.

1
Attach a smart QR label Bin, box, tool, asset, appliance, equipment, document container, case, shelf, or other item.
2
Build the Item Page Add a clear name, notes, permanent photos, contents, instructions, serial numbers, condition, or other details.
3
Use AI when a photo saves typing Identify visible items, review the result, edit it, and decide what should be saved.
4
Manage everything from the Portal Search, use folders, set Item Status, invite members, create tags, reprint QR codes, and open Item Pages.
Physical + Digital

Scan when you are next to the item. Search when you are not.

The QR label gives you immediate access to the exact physical item in front of you. The Portal gives you a larger view of the entire inventory. That means you do not have to choose between physical labels and digital organization — TapNota connects them.

The physical QR stays simpleThe changing information lives on the connected Item Page, not crammed onto the sticker.
The Portal stays searchableFind the record using names, saved note text, folder names, or tag codes.
The record can survive changeMove the item, rename it, update status, add photos, replace the physical QR, or change who can access it without rebuilding the history.
What TapNota Can Do Now

More than QR labels — a practical system for identifying, organizing, sharing, and finding physical items

01

Identify with AI

Take or choose a photo while signed in, let TapNota identify visible items, then review and edit the result before saving it.

02

Shared Account Access

Invite approved family members or team members to use their own login inside the same inventory while the owner keeps account administration.

03

Full-Text Portal Search

Search item titles, saved notes, folder names, and tag codes across the account from one place.

04

Folders

Organize inventory by room, storage area, customer, project, vehicle, department, season, move, or any structure that fits.

05

Item Status

Track whether an item is in storage, in use, loaned out, sold, donated, missing, or another supported status.

06

Photos, Notes & History

Keep permanent photos, contents, instructions, service notes, condition details, purchase information, and useful updates with the record.

07

Privacy + Optional PIN

Choose Private, Share, or Public visibility and use optional Item Page PIN protection when another layer of control is useful.

08

Item-Level Sharing

Share a specific Item Page without giving someone access to the entire account, and revoke the share when needed.

09

Create & Print Tags

Create additional TapNota QR records from the Portal and print the QR codes yourself when the account supports it.

10

QR Export & Reprint

Replace a damaged physical label by reprinting the same QR so the existing Item Page and history remain intact.

11

Large-Account Pagination

Browse larger inventories more efficiently while search and filters continue working across the full collection.

12

Flexible Portal Sign-In

Use supported secure sign-in methods, including faster password/PIN access where configured, without changing how the QR records work.

Identify with AI

Turn a photo into a useful starting list instead of typing everything from scratch

Identify with AI is built into the Item Page workflow for authorized signed-in users. Photograph a group of visible items, let TapNota return a plain item list, review it, edit it, and save only what you want.

Useful for bins, kits, shelves, boxes, tools, toys, parts, and mixed inventoryAI is most helpful when a single photo can replace repetitive manual entry.
You remain in controlTapNota assists with identification; you decide what the final note should contain.
The AI analysis photo is temporaryPermanent Item Page photos are added separately through the normal photo workflow.
Identify with AI requires the appropriate account to be signed in on the browser or device being used. Normal QR scanning does not require the AI sign-in state.
TapNota Shared Account Access for family and team inventory management
Shared Account Access

Give approved people their own login without giving away the owner's account

Shared Account Access is designed for families, helpers, employees, and teams that need to work inside the same inventory. Members use their own TapNota login rather than sharing the owner's credentials.

Separate member credentialsEach invited member signs in independently.
One shared inventoryAuthorized members can work with supported tags, folders, notes, photos, Item Status, AI tools, and QR printing.
The owner keeps administrationBilling, subscription ownership, and member administration remain owner-controlled.
Included member allowances vary by TapNota plan. The Pricing page is the best place to check current account limits.

Search What You Remember

Find the record without opening every box, walking every shelf, or remembering the exact title

Portal search goes beyond the Item Page name. Search useful words saved inside notes, folder names, and tag codes so a remembered detail can lead you back to the record.

Christmas lights

Find the storage bin even if those words only appear inside a saved note.

Oil filter

Find equipment or a vehicle record where the part appears in maintenance notes.

Warranty

Find Item Pages where warranty or replacement details were recorded.

Blue shelf

Find something from the location or description you happened to remember.

Saved AI-assisted text becomes useful searchable note content after you review and save it.
Organize the Record, Track the Item

Folders, Item Status, and history solve three different problems

Folders help describe where an item belongs. Item Status tells you what is happening with it now. History keeps useful context from being lost as the item changes over time.

A

Folders = organization

Garage, attic, customer, truck, department, job site, holiday, project, family member, storage unit, or another grouping.

B

Item Status = current state

In Storage, In Use, Loaned Out, Sold, Donated, Missing, or another supported state can be tracked independently from the folder.

C

History = what changed

Keep useful notes and updates attached to the same record rather than creating a disconnected new record every time something changes.

Why the System Is Useful

The advantages come from keeping physical access and digital organization connected

Less Friction

No dedicated app just to scan a label

A compatible phone can open the QR-connected Item Page through the web experience.

Faster Setup

One purchased pack does not need label-by-label activation

Scan one label, verify the account email, and the purchased TapNota pack connects to that account.

Findability

You can search without touching the physical item

The QR is useful when you are standing next to the object; the Portal is useful when you are not.

Durability

A damaged sticker does not have to destroy the record

Export and reprint the existing QR so the replacement continues opening the same Item Page.

Flexibility

Track one object or an entire group

One Item Page can represent a single asset, or a bin, box, shelf, kit, case, room, moving box, or grouped storage location.

Growth

Start small without changing systems later

The same basic workflow can grow from a few household items into larger home, storage, tool, equipment, or business inventories.

Control

Sharing one item is different from sharing the account

Use an Item Page share link for one record or Shared Account Access when someone needs broader authorized access.

Context

The record can hold more than a name or serial number

Photos, notes, AI-assisted lists, service details, location context, status, privacy, and history can stay with the same record.

Scale

Large accounts remain manageable

Pagination, search, filters, folders, and status help keep larger collections practical to browse and maintain.

TapNota Today FAQ

Common questions about the current TapNota system

Do I need an app to use TapNota?
No dedicated mobile app is required for normal TapNota scanning and Portal use. TapNota works through a mobile-friendly web experience on compatible phones, tablets, laptops, and desktop computers.
How does a purchased TapNota pack activate?
Scan any label in the purchased TapNota pack, enter and verify the email address for the account, and follow the activation flow. The pack connects to the account without requiring separate activation of every individual label.
What can TapNota search?
Portal search can match Item Page titles, saved note content, folder names, and tag codes. This makes it possible to find a record from a detail you remember even when you do not know the exact Item Page name.
How does Identify with AI work?
When the appropriate account is signed in, open an Item Page and use Identify with AI. Take or choose a photo, review the recognized item list, edit it, and decide what should be saved to the note.
Can several people use the same inventory?
Yes. Shared Account Access lets approved members use their own TapNota login inside the shared inventory. The owner keeps control of billing, subscription ownership, and member administration.
What is the difference between a folder and Item Status?
A folder is an organizational grouping such as a room, project, customer, department, vehicle, or season. Item Status describes the current state of the item, such as In Storage, In Use, Loaned Out, Sold, Donated, or Missing.
Can I create and print my own TapNota tags?
Supported accounts can create additional TapNota QR records from the Portal up to the account's available capacity and print those QR codes for physical use.
What happens if a QR label is damaged?
Export and reprint the QR connected to the existing Item Page so the replacement continues opening the same digital record and history.
Can an Item Page be private?
Yes. TapNota supports Private, Share, and Public visibility options, optional PIN protection, and Item Page sharing for situations where someone needs access to one record rather than the entire account.
Can TapNota handle larger accounts?
TapNota includes Portal pagination, search, filters, folders, Item Status, and other account tools designed to make larger collections easier to browse and manage.
What are TapNota Minis?
TapNota Minis are compact 1-inch by 1-inch smart QR labels designed for smaller containers, tools, drawers, devices, organizers, cases, and other tighter spaces. They use the same TapNota account and Portal system.
Where should I check current account limits and AI allowances?
Use the TapNota Pricing page for current active-tag capacity, AI credits, Shared Account Access allowances, and other plan limits.
