Privacy Policy

TapNota connects real-world objects to digital item pages. This policy explains what information we collect, how we use it, and how privacy works across your portal, QR labels, item pages, notes, photos, and shared links.

Effective Date: March 26, 2026 Business Name: TapNota LLC

1. Introduction

TapNota LLC (“TapNota,” “we,” “our,” or “us”) respects your privacy and is committed to protecting the information you share while using our website, portal, QR labels, item pages, and related services.

Because TapNota connects physical objects to digital records, this Privacy Policy explains what information we collect, how it is used, how privacy settings work, and what choices you control.

2. Information We Collect

Information You Provide

  • Account information, such as your email address and portal settings.
  • Notes, photos, names, descriptions, and other content you add to item pages.
  • Information submitted through forms, support requests, or feature ideas.

Automatically Collected Information

  • Device type, browser, and general technical information.
  • IP address and approximate location based on IP.
  • Pages visited, interactions, and basic usage activity.

Tag, QR, and Scan Activity

When a TapNota tag, QR label, item URL, or share link is accessed, we may log activity such as the date and time of access, basic scan activity, and related system events. This helps power item history, portal activity, security, and system performance.

3. How We Use Information

  • To operate and improve TapNota.
  • To provide item pages, notes, photos, QR label printing, activity history, and portal access.
  • To maintain account security and prevent misuse.
  • To analyze usage trends and improve performance.
  • To communicate with users when needed for support, account access, or service updates.

4. Google Analytics and Tracking

TapNota may use Google Analytics and similar tools to understand how visitors use our website and improve the user experience.

Google Analytics may collect pages visited, time on site, device information, browser information, and general interaction data.

5. Item Page Visibility and Search Engines

TapNota item pages may have different visibility settings, including private, shared, or public access.

  • Public pages may be visible to anyone with the URL and may be indexed by search engines.
  • Shared pages are intended for read-only access through a special link.
  • Private pages are intended for restricted access where possible.

We may use “noindex” settings for private or shared pages where appropriate, but TapNota cannot fully control third-party search engines, browser caches, screenshots, saved links, or external sharing.

You are responsible for choosing the correct privacy setting for the content you add.

6. User Content and Responsibility

You control what content is added to TapNota item pages, including notes, photos, names, descriptions, status details, and other information.

Do not upload sensitive, illegal, private, confidential, or unsafe information unless you understand the risks and have selected the proper privacy settings.

TapNota does not actively monitor all user-generated content and is not responsible for information you choose to add, share, or make public.

7. Data Sharing

TapNota does not sell your personal information.

We may share limited information only when necessary with service providers that help us operate TapNota, such as hosting, analytics, email delivery, payment processing, or security tools. We may also disclose information if required by law or to protect TapNota, our users, or the public.

8. Data Security

We take reasonable steps to protect your information, but no online system is completely secure.

You understand that information transmitted online carries inherent risk, and that access to a physical QR label, tag, URL, or shared link may allow others to view content depending on the page settings.

9. Physical Tags, QR Labels, and Access Risk

TapNota is built around physical objects, QR labels, and web-based item pages. If someone scans a QR label or gains access to an item URL, they may be able to view information depending on that item’s privacy settings.

You are responsible for where you place labels, who can physically access them, and what information you choose to store on each item page.

10. Data Retention

We retain information for as long as needed to provide TapNota services, maintain records, support user access, comply with legal obligations, and improve the platform.

We may delete inactive, unused, abusive, or unsupported content at our discretion.

11. Children’s Privacy

TapNota is not intended for children under 13. We do not knowingly collect personal information from children under 13.

12. Your Choices

  • You may stop using TapNota at any time.
  • You may request deletion of your account or certain data by contacting us.
  • You may adjust item visibility settings where available.
  • You control what content you add to item pages.

13. Changes to This Policy

We may update this Privacy Policy from time to time. Continued use of TapNota after changes are posted means you accept the updated policy.
