TapNota connects a physical item to its own digital Item Page. Use your labels on storage bins, moving boxes, tools, equipment, supplies, valuables, documents, collections, or nearly anything you want to organize and track.
Activate your pack once, attach the labels, add useful item details, and search your TapNota Portal whenever you need to find something.
Pictured: TapNota Minis (1" × 1"). Original 2" × 2" labels are also available.
Place a TapNota label on a storage bin, moving box, tool, container, piece of equipment, or nearly anything you want to organize and find later.
Scan the attached label to open its Item Page, then add the information that will help you identify, manage, or maintain it.
Open the TapNota Portal from your phone, tablet, or computer to search and manage every connected Item Page from one place.
Additional packs can be added to your existing account. Scan a label from the new pack and activate it using the same email address connected to your current TapNota account.
The new pack will be connected to the same account, allowing you to manage all of your TapNota items from one Portal.
Your Portal is your private organization dashboard. It is where you manage your entire TapNota account.
Each TapNota QR label connects to one Item Page. The page contains the information for the specific item, bin, box, tool, or piece of equipment wearing that label.
Scanning the physical label takes you directly to that Item Page. The information can be updated whenever something changes.
The Portal search tool does more than search Item Page titles. It also searches through the notes stored inside your Item Pages and lists every matching result.
Search for “Christmas lights” and TapNota can locate the correct storage bin even when those words appear only inside one of the bin’s notes.
You can also search for model numbers, part names, customer names, repair details, colors, locations, stored items, tag codes, folder names, and other information saved in your account.
You do not have to remember the exact Item Page title. You only need to remember something you entered inside it.
Folders help group related Item Pages while keeping everything searchable from one Portal. Create folders based on whatever organization system works best for you.
Moving an item into a different folder does not change its QR code. The physical label will continue opening the same Item Page.
Once the label is activated and its Item Page has been created, it does not need to be activated again. Every future scan opens the item’s current page.
Record everything inside bins and boxes so you can find items without opening every container.
Document valuables, appliances, electronics, furniture, keepsakes, and important belongings.
Store instructions, serial numbers, service records, maintenance notes, and repair history.
Organize inventory, office equipment, rental items, supplies, tools, and warehouse assets.
Attach instructions, care information, checklists, procedures, and important records directly to an item.
Share an Item Page with family, employees, customers, technicians, or service providers. Sharing can be changed or turned off later.
An active tag is a TapNota Item Page connected to a QR code. Your plan determines the total number of active tags your account can manage.
Claiming a purchased TapNota pack gives your account up to 600 included active tags and access to TapNota’s core organization tools.
Additional purchased packs can still be activated if they place your account over its included capacity. Your purchased tags will continue working, and your Portal will prompt you to upgrade for a higher account limit.
The number shown for each plan is the account’s total included active-tag capacity. Existing active tags count toward that total.
Choose the privacy and sharing setting that fits each Item Page. An item can remain private or be made shared or public, depending on how you want it used.
Optional 4-digit Item Page PIN protection is included with Pro and Business plans. A PIN is not required to activate your pack, create Item Pages, scan labels, or use TapNota.
Open your TapNota Portal anytime to search, organize, update, share, print, and reprint your active QR labels.

Home Inventory Guide Image
Add one lifestyle image showing household belongings, organized storage bins, and a phone displaying a TapNota item page.
A home inventory can help you organize belongings, locate stored items, record ownership details, document condition, and maintain useful information over time.
Record what is inside bins, boxes, closets, cabinets, attics, and garage storage areas.
Keep purchase notes, serial numbers, model information, warranties, and other identifying details.
Track repairs, maintenance, updates, condition, and changes to the item or its location.
Follow these steps to build a home inventory you can actually maintain.
Start with one room, closet, garage section, or storage area instead of attempting the entire house at once.
Begin with furniture, appliances, electronics, tools, valuables, and difficult-to-replace belongings.
Include names, descriptions, quantities, models, serial numbers, purchase information, and condition.
Photograph the item, identifying marks, accessories, labels, damage, or the contents of a connected container.
Note the room, cabinet, shelf, storage bin, closet, garage zone, or other current location.
Apply QR labels where useful and group related records by room, category, family member, or purpose.
You do not need every possible field for every item. Record the details that make the item easier to identify, locate, or maintain.
Use a specific name, category, quantity, color, size, brand, model, and other useful identifying information.
Record the room, closet, shelf, cabinet, storage bin, garage zone, or other place where the item is stored.
Add clear photos showing the item, current condition, accessories, identifying marks, or container contents.
Save purchase date, price, retailer, warranty notes, receipt information, and ownership history when useful.
Record serial numbers, model numbers, product IDs, and other unique identifiers for electronics, tools, and equipment.
Track repairs, maintenance, replacements, ownership changes, updates, and other important history.
Focus on major, valuable, difficult-to-replace, or frequently moved items first.
Major appliances, small appliances, cookware, specialty equipment, dining furniture, and valuable serving pieces.
Furniture, televisions, media equipment, speakers, artwork, collectibles, and smart-home devices.
Furniture, electronics, jewelry, clothing collections, accessories, keepsakes, and valuable personal belongings.
Computers, monitors, printers, external drives, office equipment, business assets, and important files.
Power tools, hand tools, lawn equipment, automotive supplies, sports gear, hardware, and spare parts.
Storage-bin contents, holiday decorations, seasonal clothing, camping gear, family keepsakes, and archived supplies.
A paper list or spreadsheet can help you begin. TapNota keeps the record connected to the physical item through a QR label.
| Feature | Paper List or Spreadsheet | TapNota Home Inventory |
|---|---|---|
| Create item records | Enter information into a separate document | Create a dedicated digital item page |
| Connect record to item | Record remains separate from the item | Scan the QR label to open the record |
| Add photos | Store separately or embed manually | Upload photos directly to the item page |
| Track locations | Edit rows or handwritten notes | Update the item location anytime |
| Search belongings | Search the document | Search the TapNota portal |
| Share selected records | Share the whole file or create copies | Share individual item pages |
| Replace a damaged label | Create another label manually | Reprint the existing QR code |
A useful inventory built gradually is better than a perfect system you never finish.
