Getting Started with TapNota

How TapNota works, how packs activate, and what you can organize.

What is TapNota?

TapNota connects physical items to digital pages using pre-coded QR labels, unique TapNota URLs, and optional NFC tags. Each item page can hold a name, description, notes, photos, ownership details, location, status, sharing settings, and activity history.

You can use TapNota for storage bins, moving boxes, household belongings, tools, equipment, business assets, collections, keepsakes, documents, rooms, shelves, vehicles, and grouped inventory.

Do I need to download an app?

No. TapNota works through a mobile-friendly website. Scan a QR code with the camera on a compatible iPhone or Android phone, then open the TapNota page in your web browser.

How do I activate a pack of TapNota labels?

Scan any label in the pack and follow the claim steps. Enter the email address you want connected to the pack. Once the pack is claimed, all labels in that pack become available in the same TapNota account.

Do I have to scan and activate every label separately?

No. Scanning one label activates the entire pack. You can then name, organize, and use each label from your TapNota portal as needed.

What happens when I buy another pack?

Claim the new pack using the same email address as your existing TapNota account. The additional labels will be added to that account so you can manage your packs together.

Can one label represent several items?

Yes. One label can represent an individual item or a group such as a storage bin, moving box, shelf, cabinet, tool kit, collection, room, pallet location, case, trailer, or complete equipment set.

What can I organize with TapNota?

Common uses include:

  • Storage bins, closets, garages, attics, basements, and storage rooms
  • Moving boxes and room-by-room packing

Can I try TapNota without buying labels first?

Yes. TapNota offers a free Starter option so you can create an account and try the portal. You can also purchase pre-coded physical labels when you are ready to connect records to real items.

What sizes are TapNota labels?

TapNota offers original 2-inch by 2-inch labels for bins, boxes, equipment, shelves, and larger surfaces. TapNota Minis are 1-inch by 1-inch labels designed for smaller tools, cases, accessories, devices, containers, and compact items.

Are the QR codes already programmed?

Yes. TapNota labels arrive pre-coded with unique TapNota IDs and URLs. You do not need to generate or program each QR code yourself.

Do TapNota QR codes expire?

The QR code itself does not have an expiration date. Continued access to features and active records is subject to your TapNota account and the current plan terms shown on the pricing page.

Can I download or reprint a QR code?

Yes. You can download the QR code connected to an item page and reprint it. Reprinting the same code preserves the existing notes, photos, settings, and history because the new print points to the same TapNota record.

What happens if a label is damaged?

Download and reprint the existing QR code, then replace the damaged physical label. You do not need to create a new item page or lose the record already connected to it.

Are TapNota labels waterproof?

Standard TapNota labels should be applied to clean, dry, smooth surfaces and protected from direct water, condensation, abrasion, chemicals, and harsh outdoor exposure. For damp or demanding environments, use an appropriate clear protective covering or weather-resistant placement method that does not block the QR code.

Do TapNota labels fade like thermal labels?

TapNota QR codes are toner-printed rather than direct-thermal printed. This helps them avoid the fast fading or darkening commonly associated with thermal labels, especially in long-term storage. Physical wear, sunlight, moisture, heat, and surface conditions can still affect any printed label over time.

Can I use my own QR labels or NFC tags?

TapNota supports bulk Tag IDs for customers who want to use their own compatible QR labels or NFC tags. The unique TapNota URL must be encoded or printed correctly so it opens the intended record.

Is NFC required?

No. TapNota is QR-first, and every standard TapNota label can be scanned without NFC. NFC is optional for customers who want a tap experience in addition to QR scanning.

Where should I place a TapNota label?

Place the label where it is visible, easy to scan, and unlikely to be scraped, folded, crushed, or covered. Apply it to a clean, dry, smooth surface and avoid placing it over sharp curves, seams, or textured areas that distort the QR code.

What information can I add to an item page?

Depending on your setup and plan, an item page can include the item name, description, notes, photos, ownership information, location, status, privacy setting, shared access, PIN protection, and activity history.

Can I add photos?

Yes. TapNota supports photos on item pages and notes. Uploaded photos are compressed to under approximately 250 KB to reduce storage use and improve loading speed.

Will photo compression make my images unusable?

Compression is intended to preserve a clear reference image while keeping files small enough for fast web viewing. TapNota is designed for inventory and identification photos, not for storing original full-resolution photography.

Can I add multiple notes and updates?

Yes. Use notes to document contents, condition, maintenance, movement, ownership, repairs, instructions, memories, or other updates. Notes help create a running digital history for the item.

Can notes have photos too?

Yes. Photos can be connected to notes so you can document a specific update, repair, condition change, setup, event, or stage in the item’s history.

Can I search my inventory?

Yes. The portal can be used to find records by item name and searchable note text. Clear names, categories, locations, and descriptive notes make inventory easier to find.

Can I organize items into folders?

Yes. Use folders to organize records by room, category, customer, project, vehicle, department, family member, collection, storage area, or any structure that fits your workflow.

Can I move several items into a folder at once?

Yes. The portal supports moving multiple records into a folder so you do not have to reorganize each item individually.

Can I rename or delete folders?

Yes. Folders can be created, renamed, and deleted. Review the items inside a folder before deleting or reorganizing it so your records remain arranged the way you expect.

Can I change an item after the label is applied?

Yes. Change the name, contents, photos, notes, location, ownership, status, privacy, assignment, or other information while continuing to use the same physical QR label.

Can I access TapNota from a computer?

Yes. You can use the TapNota portal from a compatible phone, tablet, laptop, or desktop web browser.

How do I sign in?

Use the email address connected to your account and follow the secure email sign-in process. Make sure you use the same email address that was used when claiming your label pack.

Plans, Active Tags & Billing

Is TapNota free?

TapNota includes a free Starter option with a limited number of active tags. Paid plans increase the number of active tags and may add or expand account features. See the current pricing page for the latest plan limits and features.

Do I need a subscription to use TapNota labels?

A paid subscription is not required to begin using TapNota because a free plan is available. Customers who need more active tags or paid features can upgrade.

What is an active tag?

An active tag is a TapNota Tag ID currently being used as an active digital item or location record in your account. Your plan determines how many active tags are included.

What happens if I have more labels than my plan allows?

Your portal may show that your account is over its included active tag usage and prompt you to upgrade. Your purchased labels remain associated with your account, but continued active use beyond your plan allowance may require a higher plan.

Can I upgrade later?

Yes. You can begin with the free plan and upgrade when you need more active tags or additional paid features.

Will upgrading change my QR codes?

No. Your existing labels and QR codes remain connected to their records. An account upgrade changes your available plan capacity or features, not the printed code on each item.

Can existing customers receive grandfathered features?

TapNota may apply account-specific feature access or grandfathered permissions for eligible existing customers. Those settings are controlled on the account and do not require replacing labels.

Does buying labels on Amazon include a recurring Amazon subscription?

No. Buying a physical pack on Amazon is a product purchase. Any optional TapNota portal plan is managed separately through TapNota.

Where can I see the current plan limits and prices?

Privacy, Sharing & PIN Protection

Control who can view an item page and how records are shared.

Are my TapNota item pages public?

Not automatically. TapNota provides privacy controls so you can choose the appropriate visibility for each record, including private, shared, or public use depending on the available setting.

What is the difference between Private, Share, and Public?

Private is intended for account-only access. Share allows access through a controlled share link. Public allows the item page to be viewed more openly. Use the setting that matches the information stored on the page.

Can I share an item without making it fully public?

Yes. You can create a share link for controlled access without changing the item to a fully public record.

Can I revoke a share link?

Yes. Shared access can be revoked so an old share link no longer provides the same access.

What is PIN protection?

PIN protection adds an access code before a protected item page can be viewed. It is useful when a page needs more protection than a standard share link.

Is PIN protection included on every plan?

PIN protection is a paid feature unless an eligible account has been granted grandfathered access. Review the current pricing page or your portal to see whether it is available on your account.

Should I store sensitive information on a public page?

No. Do not place passwords, financial details, government ID numbers, private medical information, alarm codes, or other highly sensitive information on a public or widely shared item page.

Can I change privacy settings later?

Yes. You can change the visibility or sharing configuration of an item record later without changing its QR label.

Where can I buy TapNota labels?

TapNota physical label packs are available through Amazon. Use the Buy on Amazon link to view available pack sizes and product options.

What is included in a TapNota label pack?

A pack includes pre-coded TapNota QR labels and printed setup information. Pack counts and label dimensions depend on the product variation selected on Amazon.

Does one scan activate every label in the pack?

Yes. Scan one label, complete the claim process, and the full pack is associated with the email address used during activation.

Can I return physical labels to Amazon?

Returns are handled under the return options and policies shown for your Amazon order. Because labels contain unique pre-coded IDs, contact TapNota support before reusing, transferring, or giving away a pack that has already been claimed.

What should I do if my Amazon order is missing or damaged?

Use the order-help options in your Amazon account for delivery, missing-package, or physical shipping damage issues. For activation or TapNota account issues, contact TapNota support.

Can I use labels from different pack sizes in one account?

Yes. Claim each pack using the same TapNota email address so the labels can be managed together in one portal account.

Can I give an unopened pack as a gift?

Yes. An unclaimed pack can be given to another person, who can scan a label and claim it using their own email address.

Can I transfer a pack after it has already been claimed?

Claimed packs are connected to the account used during activation. Contact TapNota support for help with an ownership or account transfer rather than trying to claim the same pack again.

Troubleshooting & Support

Scanning, sign-in, activation, missing records, and damaged-label help.

My phone will not scan the QR code. What should I try?

Try these steps:

  • Clean the camera lens.
  • Use bright, even lighting without glare.
  • Hold the phone steady and allow the camera to focus.
  • Move slightly closer or farther away.
  • Make sure the QR code is flat, uncovered, and not damaged.
  • Try another compatible phone or QR-scanning method.
I scanned a label but cannot find the rest of my pack.

Sign in using the same email address used during the claim process. If a different email was entered, the pack may be connected to that other account. Check your email spelling and contact support if you still cannot locate it.

I did not receive the sign-in email.

Check your spam, junk, promotions, and filtered folders. Confirm that the email address was entered correctly, wait a few minutes, and request another sign-in email. Add TapNota to your safe-sender list when available.

I used the wrong email address when claiming a pack.

Do not create duplicate records or try to repeatedly reclaim the pack. Contact TapNota support with the pack information and the correct email address so the account issue can be reviewed.

The QR code opens the wrong item page.

Confirm that the correct printed label is attached to the item. If the label was reprinted, verify that the downloaded QR code came from the intended item page. Contact support if the physical code and portal record still do not match.

My label was removed or placed on the wrong item.

Move the label only if it can be removed without damaging the QR code. You can also download and reprint the same QR code, then place the replacement on the correct item.

My account says I am over my usage limit.

This means the number of active tags exceeds the amount included in the current plan. Review your active records or upgrade to a plan with a larger active-tag allowance.

A photo will not upload.

Check your internet connection and try a common image format from a current phone or computer. Extremely large, damaged, unsupported, or unusual image files may need to be resaved before uploading.

How do I contact TapNota support?

Use the TapNota contact page and include the email address connected to your account, the pack or Tag ID when available, and a clear description of the issue.
