Activate the Entire Pack Once
Scan any label in the purchased pack, enter and verify your email, and TapNota connects the whole pack to your account.
You do not activate every label separately.
TapNota connects a physical item to its own searchable digital Item Page with a smart QR label. Activate a purchased pack once, attach a label, save the details that matter, and use the Portal whenever you need to search, update, share, or reprint the record later. No app is required.
The key idea is simple: the QR label stays on the physical object while the connected Item Page can keep changing over time.
Scan any label in the purchased pack, enter and verify your email, and TapNota connects the whole pack to your account.
You do not activate every label separately.
Original 2" × 2" labels and compact 1" × 1" Minis use the same TapNota system.
Place a label on a storage bin, moving box, tool, shelf, case, piece of equipment, document container, or nearly anything you want to identify later.
Add a useful name, notes, permanent photos, contents, model or serial numbers, condition, instructions, Item Status, or other details.
Open the Portal to find items by name, note text, folder, or tag code — even when the physical QR label is not in front of you.
When you are signed in, open the Item Page and use Identify Items with AI. TapNota can identify visible items from a photo and place the result into the Note box for you to review and edit before saving.
An Item Page manages one connected physical item. The Portal manages the entire account.
Invite approved family members, friends, helpers, or team members. Each person uses their own TapNota login while working inside the same inventory.
The account owner keeps control of billing, subscription, ownership, and member administration.
Different from sharing one Item Page: Shared Account Access gives an approved member access inside the account. An Item Page share link only shares that specific record.
Choose the level of access that makes sense for each Item Page. Normal QR scanning does not require a PIN unless you choose to add one.
Know what is inside bins, boxes, totes, closets, shelves, and seasonal storage.
Document appliances, valuables, keepsakes, furniture, electronics, and household belongings.
Keep serial numbers, service notes, condition, instructions, and repair history with the item.
Organize supplies, equipment, inventory, cases, rental items, and team-managed assets.
Open the Portal to manage your inventory, try the live demo, or visit the full How To Use page for more detailed help.

The biggest advantage of TapNota is not one isolated feature. It is the connection between the physical object, its digital record, and the tools you use later to search, organize, update, share, and maintain it.
Start at the physical item and keep the record useful long after the first scan.
The QR label gives you immediate access to the exact physical item in front of you. The Portal gives you a larger view of the entire inventory. That means you do not have to choose between physical labels and digital organization — TapNota connects them.
Take or choose a photo while signed in, let TapNota identify visible items, then review and edit the result before saving it.
Invite approved family members or team members to use their own login inside the same inventory while the owner keeps account administration.
Search item titles, saved notes, folder names, and tag codes across the account from one place.
Organize inventory by room, storage area, customer, project, vehicle, department, season, move, or any structure that fits.
Track whether an item is in storage, in use, loaned out, sold, donated, missing, or another supported status.
Keep permanent photos, contents, instructions, service notes, condition details, purchase information, and useful updates with the record.
Choose Private, Share, or Public visibility and use optional Item Page PIN protection when another layer of control is useful.
Share a specific Item Page without giving someone access to the entire account, and revoke the share when needed.
Create additional TapNota QR records from the Portal and print the QR codes yourself when the account supports it.
Replace a damaged physical label by reprinting the same QR so the existing Item Page and history remain intact.
Browse larger inventories more efficiently while search and filters continue working across the full collection.
Use supported secure sign-in methods, including faster password/PIN access where configured, without changing how the QR records work.
Identify with AI is built into the Item Page workflow for authorized signed-in users. Photograph a group of visible items, let TapNota return a plain item list, review it, edit it, and save only what you want.
Shared Account Access is designed for families, helpers, employees, and teams that need to work inside the same inventory. Members use their own TapNota login rather than sharing the owner's credentials.
Portal search goes beyond the Item Page name. Search useful words saved inside notes, folder names, and tag codes so a remembered detail can lead you back to the record.
Find the storage bin even if those words only appear inside a saved note.
Find equipment or a vehicle record where the part appears in maintenance notes.
Find Item Pages where warranty or replacement details were recorded.
Find something from the location or description you happened to remember.
Folders help describe where an item belongs. Item Status tells you what is happening with it now. History keeps useful context from being lost as the item changes over time.
Garage, attic, customer, truck, department, job site, holiday, project, family member, storage unit, or another grouping.
In Storage, In Use, Loaned Out, Sold, Donated, Missing, or another supported state can be tracked independently from the folder.
Keep useful notes and updates attached to the same record rather than creating a disconnected new record every time something changes.
A compatible phone can open the QR-connected Item Page through the web experience.
Scan one label, verify the account email, and the purchased TapNota pack connects to that account.
The QR is useful when you are standing next to the object; the Portal is useful when you are not.
Export and reprint the existing QR so the replacement continues opening the same Item Page.
One Item Page can represent a single asset, or a bin, box, shelf, kit, case, room, moving box, or grouped storage location.
The same basic workflow can grow from a few household items into larger home, storage, tool, equipment, or business inventories.
Use an Item Page share link for one record or Shared Account Access when someone needs broader authorized access.
Photos, notes, AI-assisted lists, service details, location context, status, privacy, and history can stay with the same record.
Pagination, search, filters, folders, and status help keep larger collections practical to browse and maintain.
TapNota's original 2-inch labels work well on bins, moving boxes, equipment, larger assets, and visible storage areas. TapNota Minis bring the same system to smaller containers, drawers, tools, devices, organizers, cases, and tighter spaces.
Keep photos, notes, warranties, purchase details, condition, location, status, and useful history tied to the physical item.
Scan the container when you are standing there or search its contents from the Portal before opening every box.
Track serial numbers, condition, accessories, instructions, repairs, assignment, location, and Item Status.
Use folders, Item Status, Shared Account Access, notes, photos, AI, history, QR labels, and Portal search inside one inventory.
Purchased TapNota packs give you pre-coded labels ready to connect to your account. Supported accounts can also create additional QR records from the Portal and print them for their own workflow.
